How to Fill in Form 303 Step by Step: VAT Guide for Freelancers

Learn how to complete Spain's quarterly VAT Form 303 step by step, calculate key boxes, and prepare your accounting for the VeriFactu rollout.

Spain's Form 303 (*Modelo 303*) is the mandatory quarterly VAT return through which freelancers and companies declare the VAT charged on their sales (*IVA repercutido*) and deduct the VAT paid on business expenses (*IVA soportado*). Filling it in accurately prevents tax agency audits and penalties.

Form 303 Deadlines

The Spanish tax calendar divides the year into four standard quarters:

  • Q1 (1T): April 1 to April 20.
  • Q2 (2T): July 1 to July 20.
  • Q3 (3T): October 1 to October 20.
  • Q4 (4T): January 1 to January 30 of the following year.

*(Note: Direct debit payment via your Spanish bank account usually requires filing 5 days prior to the deadline).*

Step 1: Identification and Tax Period

Log in to the AEAT electronic tax office using your Digital Certificate, Cl@ve, or DNIe. Select the fiscal year and the respective quarter. Confirm whether you are under the standard regime (*régimen general*), cash accounting (*criterio de caja*), or simplified regime.

Step 2: Accrued VAT (Your Sales & Invoiced Income)

In this section, report the output VAT charged to clients:

  • Tax bases and tax quotas (boxes 01 to 09): Break down your sales by VAT rate (4%, 10%, or 21%). For standard 21% services, input your cumulative base in box 07; box 09 will automatically calculate the tax.
  • Modifications and surcharges: Credit notes and equivalence surcharges are entered in boxes 14 through 18.
  • Total accrued quota (box 27): Sum of all VAT collected on your sales.

Step 3: Deductible VAT (Your Business Expenses)

Report the VAT you paid on qualifying business purchases:

  • Current domestic operations (boxes 28 and 29): Tax bases and VAT amounts from your supplier invoices.
  • Investment goods (boxes 30 and 31): Equipment, computers, or work vehicles exceeding €3,005.06.
  • Total deductible VAT (box 45): Sum of all input VAT eligible for deduction.

Step 4: Final Settlement and Result

Box 46 reflects the net balance: box 27 minus box 45.

  • Positive (To pay): You collected more VAT than you spent; you must pay this balance to the AEAT.
  • Negative (To offset or refund): During Q1, Q2, and Q3, negative amounts roll over to offset future quarters. Only in Q4 can you request a bank refund.
