Guide to Form 111: When and How to Declare Withholdings for Professionals in Spain

Learn what Form 111 is, who is required to file it, and the deadlines for declaring IRPF (Personal Income Tax) withholdings for your employees and professional suppliers.

Form 111 is one of the most important quarterly tax returns for freelancers and SMEs who act as payers. Through this form, we pay the Spanish Tax Agency (AEAT) the IRPF (Personal Income Tax) withholdings we have applied to our employees' payrolls or to the invoices of certain independent professionals.

Understanding how it works is key to proper tax management and avoiding penalties. In this guide, we explain everything you need to know.

Who is required to file Form 111?

The obligation to file Form 111 falls on any freelancer or company that has paid income subject to IRPF withholding during the quarter. The most common cases are:

* Income from work: If you have employees on your payroll.

* Income from economic activities: If you hire the services of other self-employed professionals (lawyers, consultants, designers, etc.) whose invoices include an IRPF withholding. This withholding is usually 15%, or 7% for new freelancers during their first few years.

* Prizes or capital gains: If you have awarded prizes for participation in contests or games.

Basically, if you see an item for "IRPF Withholding" on an invoice you pay, you are responsible for collecting that amount and declaring it to the Tax Agency.

Filing Deadlines: When is it due?

Form 111 is a quarterly return. The filing deadlines are as follows:

* First quarter (January - March): from April 1 to 20.

* Second quarter (April - June): from July 1 to 20.

* Third quarter (July - September): from October 1 to 20.

* Fourth quarter (October - December): from January 1 to 20 of the following year.

For large companies, filing is monthly. It is crucial to meet these dates to avoid surcharges.

How to complete and file Form 111

Filing is done electronically through the AEAT's online portal. To complete it, you will need to group the information from all invoices and payrolls with withholdings for the quarter.

The key data you will need to provide are:

1. Identification: Your tax details as the payer.

2. Settlement: This section breaks down the withholdings by type of income. You will need to sum the taxable bases of all invoices/payrolls and the total amount of withholdings applied.

3. Result: The total amount to be paid, which must match the sum of all the withholdings you have applied.

Keeping an impeccable record of these invoices is essential, especially with the arrival of new invoicing regulations. To stay up-to-date, we recommend consulting our comprehensive guide on VeriFactu 2027: Deadlines for Freelancers in Spain, which will become mandatory for freelancers and micro-SMEs from July 1, 2027. Good document organization not only facilitates filing taxes like Form 111 but also prepares you for the digital future of taxation.
