VeriFactu in 2027: Key Deadlines and Obligations for Freelancers and SMEs

Discover everything about the mandatory VeriFactu system in Spain for 2027. Learn about the deadlines for freelancers and SMEs, the new electronic invoicing obligations, and how to prepare your business to comply with AEAT regulations without complications.

Digitalization is unstoppable, and the tax landscape is no exception. In Spain, electronic invoicing is about to become an unavoidable reality for all professionals and companies. The VeriFactu system, or Invoice Verification System, is the central piece of this transformation, driven by the Anti-Fraud Law. If you are a freelancer (autónomo) or own an SME, it is crucial that you know the deadlines and obligations awaiting you in 2027.

What is VeriFactu and why is it mandatory?

VeriFactu is the new electronic invoicing system that the Spanish Tax Agency (AEAT) is implementing. Its main objective is to combat tax fraud by ensuring the integrity, preservation, accessibility, legibility, traceability, and inalterability of invoicing records. In practice, this means that the invoices you issue must be generated by certified invoicing software and, in many cases, communicated almost in real-time to the AEAT.

Key VeriFactu deadlines in 2027 for freelancers and SMEs

The entry into force of VeriFactu will be staggered, depending on the size and type of entity. It is vital that you identify which group you belong to in order to avoid non-compliance:

* January 1, 2027: This is the deadline for companies (sociedades) and freelancers with an annual turnover exceeding 8 million euros. If your business falls into this category, you must be ready to issue VeriFactu electronic invoices from the first day of the year.

* July 1, 2027: This date marks the mandatory compliance for the rest of the taxpayers. This includes the vast majority of freelancers and micro-SMEs whose annual turnover does not exceed 8 million euros. From this day on, your invoices must comply with the requirements of the VeriFactu system.

It is important to note that, although mandatory compliance for freelancers and micro-SMEs begins in July 2027, the recommendation is not to wait until the last minute. Adapting systems and familiarizing yourself with the new process takes time.

Main obligations of the VeriFactu system

By adopting VeriFactu, your business will need to comply with several requirements:

1. Use of certified software: You must use invoicing software that has been validated by the AEAT or that complies with the technical requirements established for VeriFactu. This software will ensure that your invoices are unalterable and are sent correctly.

2. Generation of verifiable invoices: Each invoice issued will generate a digital fingerprint (hash) and a QR code, which will allow the AEAT and your clients to verify its authenticity.

3. Communication with the AEAT: The software will automatically send a record of each invoice to the Tax Agency, either instantly or within a very short period, depending on the final implementation model.

4. Secure storage: Invoices and their records must be stored securely and accessibly for the legally established periods.

How to prepare for VeriFactu electronic invoicing?

Anticipation is key. Here are some practical steps:

* Research solutions: Start looking for invoicing software that is compatible with VeriFactu and suits your business needs.

* Training: Familiarize yourself with the new invoicing process. Many software providers will offer specific training.

* Update your processes: Review how you currently manage your invoicing and plan the transition to the new system.

The implementation of VeriFactu represents another step towards fiscal modernization. While it involves change, it can also be an opportunity to optimize your administrative processes and reduce errors.
